Terms and Roles

Program: Each childcare center will have its own area within the Heart of KY Kids account. Programs cannot see each other's data. The Heart of KY Kids Account Administrators can view the data from all programs.

Program Administrator: Will be responsible for overseeing the center's program. Can create program users (like a Provider account for a classroom teacher), assign children to Providers, and enter child screening data. Program Administrator User Manual

There can be more than one program administrator for a center. This is the role of a center director and/or a lead teacher.

Provider: Designed for teachers who work directly with children. Can enter child screening data. Provider User Manual

There can be more than one provider for a center. This is the role of a typical classroom teacher whose only responsibility is to screen children and share those results with families.

If you have multiple roles: At the very top of the ASQ Online page, you'll see a pull down menu under "Select role:" where you can toggle between multiple roles such as Program Administrator and Provider.

Navigating ASQ Online

At the very top of the ASQ Online page, you'll see a pull down menu under "Select role:" where you can toggle between multiple roles such as Program Administrator and Provider.


Near the top of each ASQ Online web page you will find a blue bar with the top navigation menu.

  • Home: Access Child Profiles, Screenings, and Help items from this page. Help with Home Page

  • My Profile: View and edit your profile information, change your password, create and manage your personal notes and files, manage your user access, and create personal alert messages regarding various functions in ASQ Online. Help with My Profile

  • Program: Find information regarding your program, add program users, add custom tasks, import and export data, and set your screening preferences.

  • Child Profiles: Manage all Child Profiles within your program, assign users to children, and view individual screenings.

  • Screening Management: Schedule screening tasks and non-screening tasks, generate and print screening and follow-up materials, create your own program-specific documents and groups of documents, and keep track of the status of scheduled tasks for all children in your program.

  • Reports: Generate program-specific reports.

  • Family Access: Create and manage your Family Access web page used for online questionnaire completion, and accept or reject screens that have been submitted to you through Family Access. (NOTE: This is an optional module that requires an additional subscription.)
